Responsibilities

The Buyer is responsible for all rental operational procedures, shop staff, budget and labor, as it relates to cost of sales. 

 

Essential functions 

  • Review requisition orders for accuracy and verify that materials, equipment and stock are not available from current inventory, or from sister companies’ inventories. 
  • Source and obtain price quotations from catalogues and suppliers and prepare purchase orders.
  • Calculate the cost of the order and charge or forward the invoice to the appropriate account. 
  • Process purchases within purchasing authority. 
  • Contact suppliers to schedule deliveries and to resolve shortages, missed deliveries and other problems, always getting a tracking number. 
  • Monitor inventory levels as materials, equipment and stock are issued, transferred to other departments/offices or sold to the customer.
  • Compile inventory reports, recording the quantity, type and value of materials, equipment, and stock on hand. 
  • Prepare requisition orders to replenish materials, equipment, and stock, using PRG proprietary software,
  • Maintain stock rotation and dispose of and account for outdated stock. 
  • Reconcile physical inventories with computer counts. 
  • Able to work before and after regular business hours with or without notice. 
  • Purchase all tour support items, check out any drop shipped items, and use the notes field to publicize backorders. 
  • Manage purchasing variances due to price, quantity, timing, vendor invoice error, and/or damaged items. 
  • Responsible for On Hold or variance reports 
  • Responsible for communication with finance/AP to reconcile invoices with Pos 
  • Responsible for managing purchases against budgets and volume spending 
  • Responsible for maintaining vendor relationships for best pricing and quotes locally and communication nationally to keep vendors in line of PRG requirements 
  • Responsible for communicating on payment needs and contract needs with finance 
  • Maintaining training for other purchasers on operational needs and financial integrity 
  • Maintaining up-to-date purchasing coding and requirements from finance and corporate 
  • Responsible for purchasing and vendor reports including high level analysis on gear, vendors and overall purchases.

Physical demands 

  • Must be able to remain in a stationary position for extended periods of time. 
  • The employee may occasionally lift and/or move up to 20 pounds.  
  • The position requires the ability to see clearly (with or without the aid of glasses or contact lenses) during responsibilities on and off a computer. 
  • Must be able to communicate effectively by listening and in both written. 

   

Travel required 

  • Travel may rarely be required to on-site systems and facilities  
  • Must have valid Driver’s License.

 

Required education and experience 

  • 5 years’ experience in Theatrical Lighting Business. 
  • 3 years with PRG preferred
  • High School Diploma or GED
