Responsibilities

An employee in this title has responsibility for technical event staffing at various events, including, but not limited to concerts, corporate and trade shows, television, theater, sporting events etc. The work involves sourcing staff, handling all administrative details. It is the policy of PRG to provide excellent customer service both internally and externally.  Employees are expected to perform all of their duties and responsibilities in accordance with this policy at all times. Does related work as required. 

 

Supervisory responsibilities

Management and supervision of all staff assigned; may provide on- site supervision as needed, including monitoring daily sign- ins, breaks, meals and premiums.

 

Essential functions

  • Depending on the venue, client and /or event, creates and submits detailed labor estimates based on the client’s requirements for number of persons by position and estimated number of hours and days required
  • Contacts lead personnel for their availability and pre-confirm; when necessary
  • Staffing: utilizes, if available, client-preferred crew lists first. Filling in the balance of the crew with the most qualified employees available
  • Negotiates rates with crew to work within the budget of the show for proper margins to be met.
  • Sends out crew confirmation / NOA to crew members secured for each event.
  • Provides on-site supervision as needed, including: monitoring daily sign-ins, breaks, meals and premiums;
  • Processes weekly payroll hours for crew members on events.
  • Advises the client/ sales / PM  of contractual compliance requirements and the financial impact.
  • Resolves crew issues, verifying requirements for each day, confirming availability of crew and increase or decrease staff size as necessary;
  • Provides timesheets, worker confirmation lists, new hire paperwork, workers comps incident reports and any other documentation required to provide labor services, when applicable. 
  • Onboards new hire employees into labor platform and ADP
  • Schedules, Inputs and maintains all events requiring labor into the Lasso labor platform.
  • Books all travel for event personnel as needed on each event.
  • Submit bi-monthly credit card reconciliation travel reports to Accounting
  • Submit expense reports and per diem requests to AP. Follow-up when required.
  • Request POs for labor invoices and once approved submit to AP for payment. Follow-up when required
  • Attend weekly Market meetings
  • Provides the salesperson/ project manager with totals of labor cost when necessary and provides finalized show billing.
  • Collects and correlates all required onboarding paperwork, safety and work certificates and inputs them into system as necessary.
  • Learns and comprehends industry terminology
  • Corresponds with federal, state and local agencies regarding employees; if necessary.
  • May use computer applications or other automated systems: word processing, calendar, e-mail and proprietary PRG systems and other database software such as ADP
  • Work on Show Site as needed, Evenings, Weekends on call.
  • Works with Unions in various cities as needed.
  • May perform other incidental tasks, as needed or as assigned.

  • Proficient in full Microsoft Office suite (Outlook, Excel, Word, SharePoint); Ability to learn proprietary software
  • Demonstrated knowledge working in a Windows / MAC OS based environment.  
  • Good knowledge of common computer productivity tools; Ability to operate standard office equipment.
  • Good knowledge of the principles and practices of workplace Safety and of modern office procedures and practices.

Physical demands

  • Must be able to remain in a stationary position for extended periods of time.
  • The employee may occasionally lift and/or move up to 20 pounds.
  • The position requires the ability to see clearly (with or without the aid of glasses or contact lenses) during responsibilities on and off a computer.
  • Must be able to communicate effectively by listening and in both written and verbal forms.

Travel required

  • Travel may occasionally be required to on-site systems and facilities
  • Valid Drivers License required 

Required education and experience 

  • Two years of experience supporting Labor Staffing in an entertainment environment.
  • Must have Excel experience.
  • Microsoft Word / Outlook knowledge.
  • High School or equivalency diploma; One of the above years of specialized experience may be substituted with one year of successful full-time college education.  College degree preferred.
  • Knowledge: Good knowledge of the principles and practices of show staffing; Working knowledge of accounting and payroll practices and procedures. Experience with union crewing preferred.
  • Skills: Excellent communication skills; experience with negotiation.
  • Abilities: Ability to multitask effectively; ability to understand and utilize complex payroll information.
  • Characteristics: Customer Service orientation; Tact; Professionalism; Physical condition commensurate with the demands of the position.

The pay range for this position is estimated to be $70,000. - $90,000. Actual salary is to be determined by the experience, knowledge, skills and abilitites of the applicant combined with location and alignment with market data.
