Responsibilities

The Project Coordinator is responsible for supporting the Project Management Department in the planning and execution of entertainment projects in all markets and facets PRG serves. This employee will provide essential administrative support to Project Managers and the broader department, helping to ensure smooth day-to-day operations. While often focused on scheduling, documentation, and coordination tasks, their success is driven by a proactive attitude, strong communication skills, and a genuine eagerness to learn and grow within the project environment. Essential functions

  • Provide day-to-day administrative support to Project Managers and the broader project team
  • Assist with scheduling meetings, maintaining calendars, and coordinating logistics for internal and client-facing activities
  • Prepare and organize project documentation, including reports, schedules, purchase orders, and change order forms
  • Track task progress and follow up with team members to help keep projects on schedule
  • Support the estimation process when needed
  • Help maintain budgets, forecasts, and financial documents as directed
  • Submit and track material orders (BOMs) and coordinate with Purchasing and Production as needed
  • Assist with time sheet collection, new hire paperwork, and other labor tracking
  • Support internal communication across departments by sharing updates, reminders, and documentation
  • Organize and maintain digital and physical project files for easy access and reference, including photo & video records of projects
  • Respond to client inquiries as needed, or help route them to the appropriate team member
  • Coordinate travel and on-site logistics for team members as required
  • Participate in project wrap-up and "Lessons Learned" meetings to gain insight into workflows
  • Maintain attention to detail when entering data, preparing documents, and tracking project elements
  • Bring a positive, team-oriented attitude and a willingness to learn and grow in a fast-paced environment
  • Support process improvements by identifying gaps or inefficiencies in administrative workflows
  • Take initiative on assigned tasks and follow through to completion with minimal oversight
  • Demonstrate professionalism, reliability, and clear communication in all interactions

Qualifications

  • High school diploma or equivalent required; bachelor’s degree in Technical Theater, Live Events, or related field preferred
  • Basic knowledge of scenic, theatrical, or display construction techniques
  • Hands-on experience with technical theater and scenic carpentry
  • Familiarity with AutoCAD; knowledge of Inventor or Vectorworks a plus
  • Understanding of fabrication or manufacturing processes
  • Strong organizational, time management, and multitasking skills
  • Effective communication and interpersonal abilities
  • Passion for personnel development and interest in growing within the Project Management Department

Physical demands

  • Must be able to remain in a stationary position for extended periods of time.
  • The employee may occasionally lift and/or move up to 20 pounds.
  • The position requires the ability to see clearly (with or without the aid of glasses or contact lenses) during responsibilities on and off a computer.
  • Must be able to communicate effectively by listening and in both written and verbal forms.

Travel required

  • Travel may occasionally be required to on-site systems and facilities
  • Must have valid Driver’s License

EEO and Disclosure

The pay range for this position is estimated to be $60,000-65,000. Actual salary to be determined by the experience, knowledge, skills, and abilitiesof the applicant combined with the location and alignment with market data. Additionally, we offer comprehensive health, dental, and vision insurance, paid time off, and a 401(k)-retirement savings plan with matching contributions.
