    Responsibilities

    The Administrative Assistant will provide support and administrative services for the General Managers and various other department functions

     

    Assitant to General Managers:

     

    Assist GM’s with any office personnel moves.

    Assist GM’s with travel arrangements and monthly Fusion expense report.

    Assist GM’s and Operations Director with the start-up of any new programs or policies for shop floor.

    Assist GM’s with maintaining Monthly Calendar

    Assist GM’s with other duties as assigned

    Supervise Receptionist and manage lunch/vacation/sick coverage

     

    Personnel

    Handle all new hire paperwork

    Submit information to IT for phones and computers for new hires.

    Handle benefit orientation for new hires

    Maintain personnel files

     

    Office

    Maintain office vacation calendar    

    Maintain office equipment and environment

    Order office supplies monthly

    Maintain SWAG supply

    Receptionist coverage for lunch/vacation/sick

    Arrange all company events including, but not limited to; picnics, lunches, annual health fair and holiday parties.

     

    Safety Program Administration

    Schedule monthly meetings, take minutes, coordinate safety training, assist in writing company safety policies with Operations Director and GM.

    Maintain MSDS archives.      

    Maintain OSHA Logs.

    Maintain all safety training records.

    Assist Art Department with hazardous waste management and recycling files.

     

     Intern Program

    Coordinate summer interns orientation, schedules

    Administer the paperwork and schedules for other hired interns as-needed throughout the year.

    Assist in recruiting interns.

     

     

    Qualifications

    • High School diploma.
    • Good working knowledge of Microsoft Office, Outlook, Word, Excel
    • Good organizational skills
    • Ability to multitask
    • Good communications skills
