The Office Manager will provide support and administrative services for HR functions, and various other department  functions.

Responsibilities

Handle all new hire paperwork including, but not limited to: personnel requisitions, offer letters, pcn’s, and inputing information into Kronos WorkForce Timekeeper.

Submit information to IT for phones and computers for new hires.

Handle benefit orientation for new hires.

Handle FMLA/LOA paperwork.

Separation Form Administration.

Maintain personnel files.

Manage hourly timecards in Kronos Workforce Timekeeper daily and submit to payroll weekly.

Maintain hard copies of hourly punch cards.

Manage Field Activity Reports (FAR’s); ensure union rules are applied correctly.

Input FAR hours and submit to payroll weekly.

Run labor reports as-needed.

 

Safety Program Administration; schedule monthly meetings, take minutes, coordinate safety training, assist in writing company safety policies with Operations Director and GM.

Maintain MSDS archives.      

Maintain OSHA Logs.

Maintain all safety training records.

Assist Art Department with hazardous waste management and recycling files.

 

Handle all accident paperwork including, but not limited to; Worker’s Compensation reporting, filing of doctor’s notes and assigning a safety committee member to do an accident investigation.

 

Coordinate summer interns orientation, schedules and housing

Administer the paperwork, schedules and housing for other hired interns as-needed throughout the year.

Attend USITT conference yearly and assist in recruiting interns.

 

Maintain office vacation calendar    

Track staff vacation time

Maintain office equipment and environment

Order office supplies monthly

Maintain SWAG supply

 

Arrange all company events including, but not limited to; picnics, lunches, annual healthfair and holiday parties.

 

Assist GM with any office personnel moves.

Assist GM with travel arrangements and monthly Fusion expense report.

Assist GM and Operations Director with the start-up of any new programs or policies for shop floor.

 

Supervise Receptionist and manage lunch/vacation/sick coverage.

Qualifications

Must know how to use MS Office, must be organized. 

 

H.S. Diploma or higher. 

 

Kronos and Fusion experience is a plus, entertainment background is a plus.
